Privacy

The Simple Version

We use your Xero data to show your cash balance and estimated GST, send weekly summaries and remind you before GST payments are due.

We don’t sell your information. We use service providers to run Get Amongst, deliver emails and process subscription payments.

You can disconnect Xero at any time. To ask about your information or request its deletion, contact hello@getamongst.com.

1. Who we are

Get Amongst is operated by 9four Limited, trading as Get Amongst (“we”, “us”, “our”).

This policy explains how we collect, use, store and share personal information when you use our website and service.

2. What we collect

We collect information you provide directly, information from Xero when you authorise access, and information generated while you use Get Amongst. This includes:

  • Your name, email address and Xero user identifier.
  • Connected organisation names, identifiers and relevant settings.
  • Financial records needed to produce your cash summaries and GST estimates, which may contain personal information.
  • Connection credentials that allow us to access Xero with your permission.
  • Reports, account preferences, trial history and subscription status.
  • Billing information and payment references supplied by Stripe.
  • Information you provide when contacting us.
  • Technical records needed to operate and secure the service, such as access logs and error information.

We do not receive your Xero password. Payment card details are handled by Stripe.

If you choose not to provide the information or Xero permissions needed for the service, we may be unable to provide reports or manage your subscription.

3. How we use information

We use information to:

  • Sign you in and manage your connected organisations.
  • Produce and display cash summaries and GST estimates.
  • Send weekly reports, GST reminders and important account notices.
  • Manage trials, subscriptions and payments.
  • Provide support and investigate errors.
  • Maintain security, prevent misuse and prevent repeat free trials.
  • Meet legal obligations.

We do not use your Xero financial records for advertising. We only send marketing emails if you opt in, and you can unsubscribe from those at any time.

4. Service providers and sharing

We share information where needed to operate Get Amongst, including with:

  • Xero, for sign-in and authorised access to your accounting data.
  • Stripe, for subscription billing and payment processing.
  • Our hosting, database and email providers, to store and process information and deliver the service.

We limit the information provided to what is needed for those purposes. These providers may also process some information under their own privacy policies, including for security and legal compliance.

We may disclose information where required or permitted by law, or where reasonably necessary to protect the security of the service or address fraud.

We do not sell your personal information or financial data.

5. Overseas processing and security

Some service providers may store or process information outside New Zealand. Where this happens, we take reasonable steps to ensure appropriate privacy safeguards apply, including contractual protections where required.

We take reasonable steps to protect information against loss, misuse and unauthorised access or disclosure. No online service can guarantee complete security.

If a privacy breach occurs, we will notify affected people and the relevant authorities where required by law.

6. How long we keep information

We keep information only for as long as reasonably needed to provide the service and meet legitimate operational or legal requirements.

After you stop using Get Amongst, we may retain limited billing records, security records and information needed to resolve disputes or meet legal obligations.

We also retain a limited record of Xero organisation identifiers and trial usage to prevent repeat free trials. This does not require keeping the organisation’s financial reports indefinitely.

Deleted information may remain in backups until those backups are overwritten through the normal backup cycle.

7. Disconnecting Xero and requesting deletion

You can disconnect an organisation through Get Amongst or through Xero’s connected-app settings. See Xero’s instructions for disconnecting an app.

Disconnecting stops further access to that organisation through the connection. It does not automatically delete information already stored or cancel your paid subscription.

To request deletion of your account or stored information, contact hello@getamongst.com. We will explain any information we need to retain and why.

8. Access, correction and privacy concerns

You can request access to personal information we hold about you and ask us to correct it. We may need to verify your identity first.

We will respond to access and correction requests within the timeframes required by the New Zealand Privacy Act, normally within 20 working days. If a lawful extension is needed, we will let you know.

If we decline a correction, you can ask us to attach a statement of the correction you requested.

For requests or privacy concerns, contact our privacy officer at hello@getamongst.com. If we cannot resolve your concern, you can complain to the Office of the Privacy Commissioner.

9. Updates

We may update this policy as the service changes. We will publish the updated version on our website and notify you of significant changes.
